USSSA State Director Email Communication Tutorial

Introduction:

This USSSA University tutorial is designed to guide state directors through the process of sending emails to teams, managers, and players within their jurisdiction. This tool is crucial for direct communication outside of specific events, offering a streamlined method to reach out for updates, announcements, or important notices.

Accessing the Communication Tool:

  • Login: Access your DC dashboard on the USSSA site.

  • Navigation: Locate and select the "Contact Email" option, then proceed to "Email Teams/Region."

  • Selection: Choose your target region(s). You can select one or multiple based on your communication needs.

Composing the Email:

  • Sender Information: Decide if the email should come from a personal account or a generic no-reply address to avoid bounce-backs.

  • Recipients: Specify whether your email targets players, team managers, or both. Further refine your audience by class and county within your selected region(s).

  • Content Creation:

    • Subject Line: Keep it concise for effectiveness. The USSSA prefix will be automatically appended.

    • Email Body: Decide between plain text or HTML. If using HTML, ensure to check the corresponding box and prepare your content accordingly. For plain text, simply type your message directly into the provided field.

  • Sending Options: Choose the SendGrid mail server for optimal delivery and analytics. Before sending, confirm your intention by checking the required box and then click "Send."

Advanced HTML Emails:

  • For those interested in sending visually engaging HTML emails, a separate tutorial is available. This advanced option allows for a more graphically pleasing presentation and can include specific HTML tags and styling.

Final Steps and Sending:

  • Upon finalizing your email content and confirming the recipient list, proceed to send your message. The system will handle the distribution in batches, ensuring all selected recipients receive the communication.

  • For a more detailed guide on creating and sending HTML emails, refer to the dedicated tutorial.

Conclusion:

This email communication tool empowers state directors to effectively manage their correspondence with teams, managers, and players, enhancing the overall communication strategy of USSSA events and activities. By following these steps, directors can ensure their messages are both impactful and efficiently delivered.
