Inputting, Tracking, and Viewing Notes on Team Entries: A Guide for Using the DC.USSSA Event Management System

Introduction: This tutorial from USSSA University guides event directors on how to input, track, and view notes related to team entries within the DC.USSSA Event Management System. This functionality is essential for recording requests, payment information, or other pertinent details about teams participating in an event.

Step 1: Accessing Team Information

  1. Log In: Start by logging into your DC account and navigating to the event management system.

  2. Select Event: Find and select the event for which you need to manage team notes. For demonstration, we'll use the "B State" event.

Step 2: Navigating to Team Notes

  1. Open Divisions: Trigger the divisions menu to access the specific division containing the team(s) you wish to note.

  2. Select Team: Navigate to the "Teams" section within the division to pull up the list of participating teams.

Step 3: Inputting Notes

  1. Access Notes Icon: Identify the "Page" icon (third button over) next to the team's name to open the note input area.

  2. Input Note: Type in any request, payment information, or specific details you wish to record about the team. Once saved, this icon will turn blue, indicating that a note has been logged for the team.

Step 4: Reviewing and Managing Notes

  1. Review Notes: Click on the blue "Page" icon to review the notes you've inputted for any team.

  2. Aggregate Information: To compile and review notes for all teams within an event, navigate to the "Action" menu and select the "Event Schedule Report."

Step 5: Utilizing the Event Schedule Report

  1. Access Report: The Event Schedule Report aggregates all notes inputted for teams across the event, providing a centralized location for all requests and information.

  2. Download Report: This report can be downloaded and used as a reference when preparing the event schedule or managing team-specific requests.

Conclusion: The DC.USSSA Event Management System offers a straightforward method for event directors to log, view, and manage notes related to team entries. This feature ensures that all team-specific requests and information are efficiently recorded and accessible, streamlining event preparation and management.
