Approving an Event as a State Director: A Step-by-Step Guide

Introduction: This USSSA University tutorial is designed to guide state directors through the process of approving events. When an event is created by a director who does not have state-level clearance, it requires approval by the state director to become visible to the public for entries. This guide will walk you through how to effectively approve these events.

Step 1: Accessing Your Dashboard

  • Log into your DC.USSSA account.

  • Search for events that are marked as "pending" which indicates they have not yet been approved.

Step 2: Understanding Event Approval Status

  • Pending Logo: Events awaiting approval are indicated by a pending status icon.

  • Approval Options: You have three main options for approval:

    • 100% Approved: The event is fully approved, visible to the public, entries can be made, and points awarded post-event.

    • 100% Not Approved: The event remains invisible to the public and does not award points.

    • Display Approved: The event is visible and can accept entries but will not award points until further approval is granted.

Step 3: Approving the Entire Event

  • To approve all divisions within an event simultaneously, use the action menu for the specific event and select your desired approval status.

Step 4: Approving Divisions Individually

  • If preferring to approve divisions one at a time:

    • Navigate to the division level of the event.

    • Use the action menu for each division to set its individual approval status.

    • Alternatively, for multiple divisions, use multi-select and the multi-status edit option at the bottom of the division table to set a unified status.

Step 5: Finalizing Approval

  • Upon setting the approval status:

    • Fully Approved: The event's status message will reflect this, indicating it is ready for public viewing and participation.

    • Partially Approved: If there's a mix of approval statuses across divisions, the event will display a "partially approved" status, indicating some divisions may still require approval.
